Adding/Removing Clients in Digits

Digits makes it easy to manage every client in one place. Whether you’re onboarding your first business or scaling up your firm’s dashboard, here’s how to get started and migrate client data confidently.

Setting Up Your First Client

If you're just getting started:

  1. Head to digits.com and follow the prompts to create your firm account.
  2. From your Firm Dashboard: Click Add Your First Client.
  3. Choose your setup method:
    • Starting Fresh with Digits
    • QuickBooks Migrations
    • Non-QuickBooks Migration
  4. Enter your client’s basic business details.
  5. Set up billing for your firm by entering your firm's credit card details.
    Here you will see the option for:
    • Optional Discount Code
    • Billing Summary
      • Plan Name
      • Plan Price
      • Discount
      • Due Today
      • Future Billing Dates
  6. Click on Confirm Billing
  7. Connect your client's banks & cards (Option to skip if you would like to do this at a later time)
  8. Digits will then provision the client
    Note: This will take a few minutes to complete the setup of the client. You will receive an email that Digits is syncing your client, and you will receive an email once the provisioning has been completed.


Adding Additional Clients

Once your firm is set up and you're ready to onboard more clients:

  1. Log in at my.digits.com.
  2. Click your firm name in the top left corner to open the dropdown.
  3. Select + Add Client.
  4. Choose your setup method:
    • Starting Fresh with Digits
    • QuickBooks Migrations
    • Non-QuickBooks Migration
  5. Enter your client’s basic business details.
  6. Click on Add Client.
  7. Connect your client's banks & cards (Option to skip if you would like to do this at a later time)
  8. Digits will then provision the client
    Note: This will take a few minutes to complete the setup of the client. You will receive an email that Digits is syncing your client, and you will receive an email once the provisioning has been completed.


Quickbooks Migration

Important Note: QuickBooks migration is only available during initial client setup. Be sure to complete these steps when setting up your client’s account.

Once you’ve entered your client’s business details:

  1. When prompted to select where their financial data lives, choose QuickBooks.
  2. Log into the client’s QuickBooks account to authorize the connection.
  3. Set a cutover date—this tells Digits when to take over as the system of record. We recommend the day after your client’s last fully reconciled period. See: Understanding Dates in Digits
  4. Digits will automatically import all transactions from QuickBooks up to the cutover date. After that, the QBO connection is archived and no further data will sync.
  5. Complete the remaining steps to finish setup.

Switching from Another Platform 
(Pilot, Xero, Puzzle, Fondo, Excel, Other)

If your client is coming from another accounting tool:

  1. Start by recording the ending balances from their previous system. Example: If their last closed period was 12/31/24, enter those balances and set the cutover date to 1/1/25 in Digits.
  2. Use Category Manager—Digits’ version of a Chart of Accounts—to upload their account structure. See: Using Category Manager for more information. 
  3. Once that’s set, you can upload transactions and start managing everything in Digits.


Starting Fresh (No Previous Software)

If your client hasn’t used an accounting system before, simply begin recording transactions in Digits. There’s no cutover required—just connect their bank accounts starting from the first date you want to track.

Removing a Client

  1. Go to your Firm Dashboard. 
  2. Find the client you want to remove.
  3. Click the three-dot menu (⋮) on the right side of the client’s card.
  4. Select Remove from the dropdown.
  5. A confirmation modal will appear.

⚠️ Important: once you remove a client their data will be permanently deleted. Make sure you and your client download any necessary data beforehand.


6. Click Remove to complete the deletion. 


Note: If you (or your team) have invited any users to the client’s account — such as teammates or the client themselves — those user accounts will also be deleted.
