Managing Transactions in Digits Ledger

Effectively managing your client’s transactions is crucial for maintaining accurate and up-to-date financial records. This guide provides a comprehensive overview of how to use the Transactions tab, including client edit abilities, editing options, and more.

Adding Pay In / Pay Out Transactions

  1. From the client’s home dashboard, go to Accounting > Ledger.
  2. Click New Transaction in the top right corner.
  3. Enter transaction details. All transactions require a date, and optionally, a memo.


For Pay In Transactions

  • Select the pay-from party and the pay-in category.
  • Enter the descriptionamount, and category.
  • Category and Amount are required.


For Pay Out Transactions

  • Select the pay-to party and the pay-out category.
  • Enter the descriptionamount, and category.
  • Category and Amount are required.


            Note: You can add extra lines to either type if needed.

  1. Click Save & Close to finish the entry. Or use the dropdown to select:
  • Save – stay on the current transaction
  • Save and New – start another transaction

Importing Transactions

We recommend importing transactions through Connections whenever possible. However, you can also manually import bank transactions using a CSV file if needed.

  • Download a CSV file from your client’s bank or provider.
    Here are links to help for common banks:
  1. From the left-hand menu, go to Accounting > Ledger.
  2. Click the dropdown next to New Transaction, then select Import Bank Transactions.

  1. Download the CSV template provided in the popup. Fill in your transactions using the template.
  2. Upload your completed file and map each column to the correct Digits fields. For bank transactions, be sure to select the appropriate bank or credit card category. (Don’t see the account you’re looking for? Double-check that it has a subtype of Bank or Credit Card in Category Manager. That’s how Digits knows which accounts are available for transaction imports.)
  3. Click Next to complete the import.

Digits AI: Once uploaded, transactions don’t just sit there—Digits AI gets to work, auto-categorizing and assigning parties for you. No spreadsheets, no guesswork.

Processing Time: Imports typically complete within 1–10 minutes, depending on size.

Copying or Reversing Transactions

Need to fix a mistake or repeat a common entry? Copying and reversing transactions makes it fast and easy.

  1. From the left-hand menu, go to Accounting > Ledger.
  2. Use filters to locate the transaction by party, amount, or payment type. You can also use Command + K to search directly.
  3. Click the Edit icon at the top of the transaction screen. 
  4. Click the copy icon to duplicate it, or the reverse icon to create an offsetting entry that cancels out the original.

Note: These actions are only available in edit mode. For transactions in a closed period, access the copy and reverse options from the kebab menu in the top right corner.

Editing Transactions

  1. From the left-hand menu go to Accounting > Ledger.
  2. Use filters to locate the transaction by categoryparty, or amount. (Scroll down for details on Bulk Editing.)
  3. Click the pencil icon in the header to enter edit mode.
  4. Then either update fields inline—such as party and category—or click on the transaction to open full edit options (within the allowed parameters detailed below).


For detailed guidance on what can and cannot be edited, please refer to the accompanying chart that highlights these specifics. The header of this chart references the source of the transaction (imported from Connections vs Manually Created, imported from Digits Pay Etc.).



Bulk Editing Transactions

  1. From the left-hand menu go to Accounting > Ledger.
  2. Click the pencil icon in the header to enter edit mode.
  3. Use the checkboxes next to each transaction to select one or more entries.
  4. Once selected, a bulk editing bar will appear at the top of the screen.
  1. From here, you can update the PartyRelated Category, or Source Category across all selected transactions.
  2. Click Apply to save your updates.


Editing Similar Transactions

When you update the category on a transactionDigits AI scans for other entries that meet key matching criteria—like category, amount, and credit/debit direction.

If it finds potential matches, you’ll see a Review prompt.

  1. Click Review to see the list of suggested matches. 
  2. You can choose to apply your changes to all, some, or none of them.


This helps you batch-correct inconsistencies and streamline client books without redundant edits

How Similar Transactions Are Identified
Digits looks at:

  • The same starting category
  • The same opposite-side (paired) category
  • The same credit/debit direction
  • Transactions after the most recent closed period

 
Refunds are excluded from suggestions.

Editing Transactions in Closed Periods

When you open a transaction from a closed period, a notification will appear at the bottom of the screen.

To edit it:

  1. Click the menu in the header.

  1. Confirm that you’d like to enable editing.


  1. Once enabled, make your changes as needed and save.
