Use Digits Inbox to review uncategorized transactions, approve bills, resolve comments, and track open items—everything needing your attention in one place.
Overview
The Digits Inbox is the place where Digits collects anything that needs a quick check from you—so your books stay accurate without you having to hunt through your transactions.
Digits automatically categorizes most activity. The Inbox is for the small set of items that need a human decision, like confirming what something was for or approving a bill.
The Inbox helps you:
Focus only on what actually needs attention
See context (questions and replies) in one place
Collaborate with teammates or your accountant
Keep things moving without losing track of what’s still open
Where to Find Inbox
You can open your Inbox from two places:
1. Ask Digits From anywhere in Digits, open the Ask Digits bar at the bottom of the screen and click the calendar icon. This opens your Inbox panel with all open questions, flags, approvals, and review items.

2. Left Navigation From your main company view, click Inbox in the left navigation to jump straight into your open items.
Why Items Appear in Your Inbox
Items show up in the Inbox when Digits needs a quick decision to keep your books clean. Common reasons include:
Digits isn’t sure how to categorize a transaction
A bill or payment needs approval
Someone asked a question (or replied to one)
A review item is still open
Once you take the needed action and the item is closed, it disappears from Open automatically.
Inbox Action Items
Inbox items are small review tasks tied to a transaction, bill, or conversation.
Digits AI does most of the heavy lifting—automatically categorizing most transactions for you. When the AI isn’t confident, it flags a transaction in your Inbox.
For each item, you can:
Confirm if Digits got it right, or
Update the category, then click Confirm
Every confirmation trains ✨ Digits in real time, improving future categorization accuracy.
Comments are messages tied to a specific transaction, bill, or report. They might be questions from your accountant, team member, or notes you add for yourself.
You can:
Reply as needed
Add context or instructions to other team memebers
Mark the conversation resolved
Then close the work item to fully clear it from your Inbox
Your accountant or team may upload bills into Digits, but only your business can approve them.
You can:
Approve → Books the bill to the Ledger
Reject → Sends it back for correction
Delete → Removes the bill if it's a duplicate or incorrect
✨ Digits will pre-fill the vendor details from the bill itself—so you just need to verify and approve.
Note: Resolving a comment does not close the item. You must close it manually unless another action (like approving a bill) resolves it automatically.
Filters & Navigation
Use the filters across the top to sort and prioritize:
Assigned — Items assigned to you
Watching — Items you created or are following
Open — All open items across your clients
Closed — Completed and archived items
Use the year/month sidebar to filter by period, or filter by item type such as Categorize, Comment, or Approve Bills.

About the Inbox Badge
The Inbox badge (the small number near the calendar/alarm icon) shows how many open items still need attention for that business.
Troubleshooting & Tips
Still seeing items in Open? There may be an unanswered question or a step that wasn’t completed.
Older items can stay open until resolved, even if the transaction date is in the past.
Try to check the Inbox regularly—small reviews now prevent bigger cleanup later.
Use @mentions to loop in a teammate or your accountant quickly.
Frequently Asked Questions
Does reviewing bills improve AI accuracy?
Yes. Digits pre-fills vendor, category, and other metadata from the bill—your review ensures accuracy, and your choices help the AI improve over time.
Inbox vs. Ledger: What's the difference?
Inbox is your review queue. Use Inbox to work through what Digits needs from you—like uncategorized transactions, bills awaiting approval, and open comments or follow-ups. Think: triage + decisions.
Ledger is your system of record. Use Ledger to investigate and edit what’s actually hitting the books. It’s the full transaction history and audit trail—where manual entries, imports, and Digits-generated activity live. Think: deep edits + cleanup + analysis.
Tip: Start in Inbox to clear what needs attention, then jump into Ledger when you need more context, filters, or detailed edits.
Why is something still showing in Open?
Most likely, a comment hasn’t been resolved, or an action item (like categorization or approval) is still pending. Check previous months/years for open items.
What happens when I close an Inbox item?
Closing an item marks the task as complete and removes it from Open. The underlying transaction remains in the Ledger.
Do I need to do anything with items in the Closed section?
No. Closed items are archived for reference and don’t require further action.
Can I edit transactions directly from the Inbox?
Yes. You can update categories, departments, and locations before confirming or closing the item.
How do I close an Inbox item?
Inbox items close automatically when you complete the required action (such as approving a bill or confirming a category). Some items, like comments, must be closed manually.
