Bring your firm's staff into Digits so you can collaborate across clients faster.
Who’s who
Colleagues = your firm’s staff (invited at the firm level; you control which clients they can access).
Team Members = people at the client company (invited inside a specific client). See: Inviting Team Members
Roles & Permissions
Firm Roles (assigned per colleague; apply across the entire firm)
Tip: You assign a Firm Role to each colleague. That sets their firm-wide permissions.
Client Access (assigned per colleague, per client)
Invite a Colleague
Go to Firm Settings → Colleagues.
Click Invite Colleague.
Enter their name and work email.
Select a Firm Role, click Next.
(Optional) Choose the clients they should access.
Click Send invite.
They’ll receive an email to create (or sign in to) their Digits account, and once they accept, they'll be added to your firm.
Tip: You assign a Firm Role to each colleague. That role gives the colleague firm-wide permissions. Then, for that same colleague, you set client-level access to choose which specific clients they can see or manage.
Managing Access
Change/remove access for a single client
Go to Firm Settings → Colleagues.
Find the colleague (list is below, Invite colleague), then locate the client in the right-hand client-access column.
Use the dropdown to choose Admin, Associate, or No access, then click Save.
Remove a colleague from the firm entirely
Go to Firm Settings → Colleagues.
Find the colleague and click the menu next to their name.
Select Remove, then Confirm.
FAQs
Do Firm Roles apply to everyone or per colleague?
Per colleague. You assign a Firm Role to each colleague, then set that colleague’s client-level access per client.
Can I invite colleagues to the Demo Client?
No. Demo doesn’t support invitations. Invite at the firm level and assign to real clients (or Firm Books (Free)).
Can I restrict a colleague to only certain clients?
Yes. Keep their Firm Role appropriate (e.g., Associate), then grant client-level access only to the clients they need.
What default access does a Firm Admin get?
Admins control firm-wide settings and default to admin on all clients. Change their Firm Role if you need per-client control.
Why are client access controls locked?
Because the colleague is a Firm Admin. Change their Firm Role to edit client-level access.
