Use the Digits Inbox to review uncategorized transactions, approve bills, resolve comments, and manage client tasks—everything needing your attention in one place.


Overview

The Digits Inbox is your central workspace for review and follow-up. It brings together everything that needs human attention—across transactions, bills, and conversations—so you can keep books accurate without hunting through reports or the Ledger.

Digits automatically books and categorizes most transactions. The Inbox exists for the small set that needs human judgment—so you review only exceptions.

The Inbox helps you:

  • Focus on items that actually need review

  • See full context through threaded conversations

  • Collaborate with teammates and clients in one place

  • Move work forward quickly without losing track of what’s open


Where to Find the Inbox

You can open the Inbox from three places:

1. Ask Digits From any client view, open the Ask Digits bar at the bottom of the screen and click the calendar icon. This opens the Inbox panel for that client, showing all open action items.

2. Firm Dashboard When you log in to your Firm Dashboard, each client card shows an Inbox badge with the number of outstanding items. Click a client card, then open the Inbox from the client workspace.

3. Left Navigation From a client’s workspace, you can also click Inbox in the left navigation to jump straight into their review items.


Why Items Appear in Your Inbox

Items show up in the Inbox when Digits needs a quick human decision to keep your books accurate. Common reasons include:

  • A transaction couldn’t be confidently categorized

  • A bill or payment needs approval

  • A question or comment needs a response

  • A review task is still open or incomplete

Once the required action is taken—and the item is closed—it disappears from Open automatically.


Inbox Action Items

Inbox action items represent review work tied to transactions, bills, or conversations that need a decision before books are complete.

Categorize

Digits AI auto-categorizes most transactions, but when confidence is low, it sends items to your Inbox.

For each item, you can:

  • Confirm if Digits got it right, or

  • Update the category, then click Confirm

Every confirmation trains Digits in real time, improving future categorization accuracy.

Comments

Comments allow your team—and your client—to clarify questions directly on the specific transaction, bill, or report they reference.

You can:

  • Reply to questions

  • Add context or instructions

  • Mark the conversation resolved

  • Close the associated work item to clear it from your Inbox

Approve Bills

If bills are uploaded by your team or the client, they appear in the Inbox so you can review and approve them.

You can:

  • Approve → Books the bill to the Ledger

  • Reject → Sends it back for correction

  • Delete → Removes the bill if it's a duplicate or incorrect

Filters & Navigation

Use the filters across the top to sort and prioritize:

  • Assigned — Items assigned to you

  • Watching — Items you created or are following

  • Open — All open items across your clients

  • Closed — Completed and archived items

Use the year/month sidebar to filter by period, or filter by item type such as Categorize, Comment, or Approve Bills.

About the Inbox Badge The Inbox badge (alarm/calendar icon) shows the total number of open action items for that client.


Troubleshooting & Tips

  • Still seeing items in Open? There may be an unresolved comment or pending action.

  • Items from prior years stay open until resolved—date doesn’t matter.

  • Check your Inbox daily to keep month-end moving smoothly.

  • Use @mentions to tag teammates and delegate quickly.
