Managing Your Client's Vendors

The Vendors tab makes it easy to review and manage vendor transactions for your clients. It gives you clean visibility into spend by vendor, with built-in filters to flag any inconsistencies.

What counts as a vendor transaction? Vendor transactions include any booked to:

  • Operating Expenses
  • Cost of Revenue
  • Other Expenses
  • Prepaids / Inventory / Fixed Assets


What You Can Do in the Vendors Tab

  • See transactions grouped by vendor
  • At-a-glance insights:
    • Total vendors count
    • Total vendor spend
    • New vendors this period
  • Create or edit vendor-linked transactions (like OPEX, Cost of Revenue, or Prepaids)


How Vendors Are Added

Digits automatically adds vendors when it detects new names in:

  • Bank or Connection feeds
  • CSV uploads
  • Digits Pay data


To add a vendor manually while booking or editing a transaction:

  1. Click into the Party field
  2. Start typing
  3. If not found, select Add – Digits will auto-enrich with logo and public info


Click or hover on vendor names to view their profile and associated transactions.

Vendor Editing & Deletion

  • Editing names: Not currently supported. Remove and re-add with correct name to trigger consolidation.
  • Deletion: Not possible. Just avoid using outdated vendors in new transactions.


How to View 1099 Eligibility

  1. Go to your client’s Vendors tab.

  2. Click on the Taxes section under the Vendors header.

    • What you’ll see:

      • Each vendor’s W9 status (Required, Available, Not Required, or Unknown)

      • A 1099 required flag based on spend thresholds

      • Summary insights in the left sidebar showing:

        • Total vendors

        • Count of vendors that require a 1099

        • 1099 status breakdown: Required / Not Required / Unknown

        • W9 status breakdown

    • What you can do:

      • Update the Entity Type for a Vendor

      • Update the W9 status for a Vendor

      • Mark individual transactions as 1099 qualified


Note: 1099 Status is determined by the entity type of the Vendor and the Vendor’s total 1099 qualified spend.

You can also download a full vendor CSV from the kebab menu (⋮) in the top right.

Filter Tips

Use filters to spot categorization issues or review new vendors at close.

Filters (available in the top-right below the header):

  • Vendor Filters:
    • Search by name
    • Filter by total spend
    • Quick toggles for New Vendors or Multiple Categories
  • Transaction Filters:
    • Category
    • Spend range
