Managing Categories in Digits

Effectively managing your client’s categories is key to maintaining organized financial records. Follow these steps to add or edit categories within Transactions.


Chart of Accounts (COA)

Importing Your Client’s Chart of Accounts

When you set up your client’s account with Digits, here's how we handle their Chart of Accounts:


  • For QuickBooks Online (QBO) Users:
    If your client is transitioning from QBO, we'll seamlessly import their existing Chart of Accounts into Digits. This makes your setup quick and easy, allowing you to continue with your familiar framework.

  • For Other Users or Fresh Starts:
    If your client is coming from a different platform or starting fresh, they will be provided with the Digits Standard Chart of Accounts. This comprehensive template is designed to suit a wide range of business needs.


Customization

Once you've set up your client’s Chart of Accounts, you have the flexibility to edit and customize it to fit their unique business requirements. While we're excited to offer these options, please note that we currently do not support imports from sources other than QBO.

Category Manager

Filter and Search Categories

Utilize the Category Manager to effectively filter and search categories. You can filter by:

  • Status

  • Type

  • Subtype

  • Connection


Quick Category Management

To quickly add or edit categories, simply hover over a category row. From there, you can:

  • Add a Child Category

  • Edit the Category

  • View the Category


Adding a New Category
  1. From your client’s home dashboard, navigate to the Transactions tab.

  2. In the Transactions tab, click on the gear icon located in the lookup bar on the left side.

  3. Within the Category Manager, click on the Add Category button in the top right corner of the page.

  4. Fill in the necessary information for your new category:

    1. Category Name

    2. Parent Category

    3. Category Number (Optional)
      The first digit of this number is set for you based on the type of parent category.

    4. Subtype
      This is often auto set by the Parent Category. If you are looking for a different subtype, you will need to change the subtype of the Parent Category first.

    5. Icon

    6. Description (Optional)

  5. Once all details are entered, click Save.


Editing a Category
  1. Click on the category you want to edit in the Category Manager, or use the lookup category search feature.

  2. On the right side of the manager, hover over the category details. Click the pencil icon next to the category name.

  3. Make the necessary changes to the following fields:

    • Category Name

    • Parent Category
      Note that the Parent Category can only be changed to another category of the same type (i.e. Asset account to Asset account)

    • Category Number (Optional)

    • Subtype
      This is often auto set by the Parent Category. If you are looking for a different subtype, you will need to change the subtype of the Parent Category first.

    • Icon

    • Description (Optional)

  4. After editing, click Save in the bottom right corner of the category details.

If needed, you can choose to deactivate a category within this section. This action prevents the category from appearing in the category picker across the product. However, the category will still be visible in various parts of the product if there is a balance. Machine learning will not recommend deactivated categories, but you can reactivate them at any time.


     


Viewing Transactions By Category

The Transactions page groups transactions by category. In the All Transactions tab, the category sidebar provides a hierarchical view of your client’s chart of accounts, filtered to show accounts with transactions in the selected period or those with a non-zero balance. The Banks & Cards tab is a simplified view focused on categories for bank accounts and credit cards.


  • Sorting: Accounts are organized by account type and then sorted numerically by account number. If no account numbers are present, they are sorted alphabetically.

  • Filtering: Hover over an account name to reveal a checkbox. Click it to display only transactions for that account.

  • Scrolling: Click on an account name to scroll directly to its section.

  • Counts: The transaction count for each account appears on the right. Parent accounts display the total for themselves and all sub-accounts.
