The Digits Ledger is a powerful tool for viewing and managing your client’s transactions within the Transactions Tab. You can view transactions by category, party, or amount, each offering unique insights. Here's how to navigate and utilize these views effectively.
Viewing By Category
The Transactions page groups transactions by category. In the All Transactions tab, the category sidebar provides a hierarchical view of your client’s chart of accounts, filtered to show accounts with transactions in the selected period or those with a non-zero balance. The Banks & Cards tab is a simplified view focused on categories for bank accounts and credit cards.
Sorting: Accounts are organized by account type and then sorted numerically by account number. If no account numbers are present, they are sorted alphabetically.
Filtering: Hover over an account name to reveal a checkbox. Click it to display only transactions for that account.
Scrolling: Click on an account name to scroll directly to its section.
Counts: The transaction count for each account appears on the right. Parent accounts display the total for themselves and all sub-accounts.
Viewing By Vendor
The Vendors page groups transactions by party, focusing on entities considered vendors. This includes transactions booked to expenses and cost of goods sold. As well as, transactions recorded to the Balance Sheet as assets (Prepaid and Fixed Assets). We aim to support more transaction types soon.
Vendor Summaries
Total Vendors: Shows the count of vendors appearing in the selected period.
Vendor transactions that are not coded to a party will appear at the top of the Vendor Name list. Be sure to review these transactions and assign them to the appropriate vendor or party.Spend: Displays a chart depicting total spend across all parties for the selected period.
New Vendors: Lists vendors with their first transaction in the selected period. Click a vendor’s icon to filter.
Multiple Categories: Highlights vendors with transactions spanning multiple categories over the last three months (or the custom period). Click this tile to filter these vendors.
It is best practice to review this section for accuracy as part of your monthly close process.
Viewing by Customer
To view and manage your transactions by customer, follow these steps:
Begin from the client’s home dashboard. Navigate to the Customers tab. Here, you can access detailed insights into your customer interactions.
In this section, you'll find key metrics for the selected period, including:
Total Customers: The total number of customers you've engaged with.
Revenue: The total revenue generated from your customers.
New Customers: The number of new customers acquired.
Multiple Category Customers: Customers who have interacted with multiple product categories.
You can easily filter the customer list to refine your view:
By Name: Search for specific customers by their names.
By Total Spend: Sort customers based on their spending levels.
By Customer Review: Filter based on new or multiple categories.
For detailed transaction insights, use the following filters:
By Category: Narrow down transactions to specific categories.
By Transaction Amount: Focus on transactions within certain financial ranges.
Exporting Transactions
Export All in Period
To export a CSV of all transactions for the selected period, click the ellipsis menu in the ledger header.
Export Single Account in Period
To export transactions for a specific account or single party within the selected period, use the ellipsis menu on the account.
You can also download a complete financial package for a selected period. Each component will be available as a separate file by selecting the ellipsis menu in the ledger header.
