# Manage Your Team

Organization Admins can manage the people in your Digits organization. From the **Organization Dashboard**, you can invite team members, update their access, revoke pending invitations, and remove people who no longer need access.

***

### **How Does Team Member Access Work?**

When you invite a team member, you'll choose their **Organization Role** and their **default entity role**, which you can also customize per entity. Each team member has two types of access:

**Organization Role** determines what they can do across your organization.

<table><thead><tr><th width="139.213134765625">Role</th><th>What they can do</th></tr></thead><tbody><tr><td>Admin</td><td>Manage billing, entities, team members, and organization settings across the organization.</td></tr><tr><td>Read Only</td><td>Can't manage the organization; what they can see or do in each business is set by their Entity Access.</td></tr></tbody></table>

**Entity Role** determines which businesses (entities) they can access.

<table><thead><tr><th width="142.07879638671875">Role</th><th>What they can do</th></tr></thead><tbody><tr><td>Manager</td><td>Can use day-to-day tools—view, comment, tag, and share transactions and reports. <strong>Note:</strong> <em>some setup-level tools (like Chart of Accounts/Category Manager) remain view-only, even for Managers. Managers also can't lock or open accounting periods.</em></td></tr><tr><td>Read Only</td><td>Can view all tools and data and comment, but can't make edits anywhere, including the Chart of Accounts, transactions, or reports. This includes locking or opening accounting periods. </td></tr><tr><td>No Access</td><td>Can't access that business.</td></tr></tbody></table>

### Invite a Team Member

There are two ways to start an invitation:

* **From your Organization Dashboard** — click **Manage Team**, then **+ Add Team Member**.

* **From a business dashboard** — click **Add Team Member** in the left navigation menu.

Either way, then:

1. Enter the person's **name** and **email address**.
2. Choose their access:
   * **Organization Role** (defaults to **Admin**)
     * **Admin** — Manage billing, entities, team members, and organization settings across the organization
     * **Read-Only** — Can view financial information and leave comments but can't make changes.
   * **Entity Access** (defaults to **Manager**)&#x20;
     * Manager
     * Read Only
     * No Access
3. Click **Send Invite**.

<div align="left"><figure><img src="/files/rsGMoXxOQzj17EsTmStC" alt="" width="330"><figcaption></figcaption></figure></div>

The person will receive an email invitation to join your Digits organization. Until they accept the invitation, their status will appear as **Pending**.

***

### **How Do I Revoke a Pending Invitation?**

{% hint style="info" %}
&#x20;**You need to have joined first.** Revoking a pending invitation is done by an active **Admin** at your company. Once you've joined, you can revoke pending invitations for **other** team members who haven't accepted yet.

If **no one at your company has accepted yet**—for example, the original invitation used to set up your organization is still pending—it can't be revoked from Manage Team, since there's no active Admin to do it. Your firm can't revoke it either, because it lives in your Organization Dashboard. If you need to change or resend that invitation, [contact Digits Support](https://portal.usepylon.com/digits/forms/get-in-touch-with-digits-support).
{% endhint %}

1. From your **Organization Dashboard**, click **Manage Team**.
2. Find the team member whose invitation is pending.
3. Click **Revoke Invitation**.

The invitation link will no longer work. You can send a new invitation at any time.

***

### **How Do I Change a Team Member's Access?**

1. From your **Organization Dashboard**, click **Manage Team**.
2. Select the team member you want to update.
3. To change their organization-wide permissions, open the **Organization Role** dropdown next to their name and choose a new role.
4. To change access to a specific business, find it in the **Entities** section and select a new role from the dropdown next to that entity.

***

### **How Do I Remove a Team Member?**

You can either remove someone from your entire organization or remove access to a single business.

#### Remove Someone from Your Organization

1. From your **Organization Dashboard**, click **Manage Team**.
2. Select the team member.
3. Open the **Organization Role** dropdown next to their name.
4. Select **Remove**.

<div align="left"><figure><img src="/files/VXVMs6ygPEvBAT15bkcb" alt="" width="375"><figcaption></figcaption></figure></div>

5. Click **Remove** again to confirm.

The team member will immediately lose access to every business in your organization.

{% hint style="info" icon="lightbulb-exclamation-on" %}
You can't remove the last active **Admin**. Promote another team member to **Admin** before removing them.
{% endhint %}

{% hint style="info" %}
&#x20;If you're removing your own access from the organization, the option appears as **"Leave"** instead of **"Remove"**.

<img src="/files/HWiGw20lpWoBgSBLFvrE" alt="" data-size="original">
{% endhint %}

#### Remove Someone from a Single Business

1. From your **Organization Dashboard**, click **Manage Team**.
2. Select the team member.
3. In the **Entities** section, find the business you want to update.
4. Open the role dropdown for that business and select **No Access**.

The team member will keep access to the rest of your organization but won't be able to access that business.

{% hint style="info" icon="lightbulb" %}
**Tip:** If you're an Admin, this is always reversible: Admins can re-add themselves to any business in the organization at any time.
{% endhint %}

### Who Can Manage Team Members?

Managing team members is an organization-level permission.

<table><thead><tr><th width="286.499267578125">Action</th><th width="215.3154296875" align="center">You (Organization Admin)</th><th width="199.0198974609375" align="center">Your Accounting Firm</th></tr></thead><tbody><tr><td>Invite team members</td><td align="center">✓</td><td align="center">✓ </td></tr><tr><td>Change team member access</td><td align="center">✓</td><td align="center">✗</td></tr><tr><td>Remove an active team member</td><td align="center">✓</td><td align="center">✗</td></tr><tr><td>Revoke pending invitations</td><td align="center">✓</td><td align="center">✗</td></tr></tbody></table>

{% hint style="info" %}
Only someone in your organization with the **Admin** role can remove an active team member. Your accounting firm can help invite people during setup, but they can't remove someone who has already joined your organization.
{% endhint %}

### Frequently Asked Questions

<details>

<summary>What's the difference between Organization Role and Entity Access?</summary>

**Organization Role** determines what someone can do across your organization, such as managing team members or organization settings.

**Entity Access** determines which businesses they can access and what role they have within each business.

</details>

<details>

<summary>Can multiple team members use Digits at the same time?</summary>

Yes. There are no limits on how many users can be signed in and using Digits simultaneously. If your organization has multiple team members, each person can sign in with their own account and work in Digits at the same time.

</details>

<details>

<summary>Who can remove a team member from my organization?</summary>

Only someone at your company with an Admin role can remove an active team member, and it's done from **Manage Team** in the Organization Dashboard. Your accounting firm's colleagues cannot remove one of your team members for you—that has to be done by someone on your side.

</details>

<details>

<summary>Can my accounting firm manage my team members?</summary>

Your accounting firm can help invite people to your organization, but only your organization's Admins can update access or remove active team members.

</details>

<details>

<summary>The invite didn’t arrive—what now?</summary>

Ask them to check spam. In Settings → Team Members, revoke the Invitation (if pending) and send a fresh Invite.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://help.digits.com/for-clients/manage-your-team.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
