Adding & Removing Client Accounts

You can easily add new clients or remove existing ones from your Firm Dashboard. Each client is billed individually, so there’s no limit to how many clients your firm can manage in Digits.


How to add a new client to your firm

Step 1: Start from your firm's dashboard

You can add a client directly from your Firm Dashboard. There are three ways to start:

  1. Click Add Client at the top right of your dashboard (next to “Send Feedback”).

  2. Or, click your firm name in the top-left corner and select Add Client from the dropdown.

  3. If this is your first client, you can click Add your first client in the middle of the dashboard.

Step 2: Choose your account setup

On the "How would you like to get started?" screen, select how you'd like to set up the client's account:

  • Start Fresh with Digits – Create new books using Digits’ AI Bookkeeping Agent.

  • QuickBooks Migration – Migrate an existing Chart of Accounts directly from QuickBooks. For more information, see: Migrate Data from QuickBooks Online (QBO)

  • Non-QuickBooks Migration (Puzzle, Xero, Other) – Set up a client coming from another platform. Digits doesn't pull data from these automatically: you'll build the Chart of Accounts (Auto Create or CSV) and import historical transactions by CSV. Step 3: Choose your client's chart of accounts

On the "Choose your accounting categories" screen, decide how to set up categories (you can configure now and import or sync transactions later):

  • Auto Create — let Digits create your categories for you.

  • Manual Upload — upload your own custom categories from a CSV.

Step 4: Complete your client's profile

Enter the Company Name, then select the Country and State.

Step 5: Confirm your client's billing plan

Choose who pays:

  • Our Firm — your firm pays and manages billing for this client.

If your firm has already set up Free Firm Books, your billing info will be on file.

  • My Client — the client pays for their own Digits subscription; your firm keeps full access. (Client Pays availability can depend on your firm's plan or agreement — if you don't see this option, reach out to your Digits contact.) See Client Pays in Digits

Then, under Pick your plan, choose the plan for this client and click Next. Review the Billing Summary (plan name, price, and amount due today) and click Add Client. A prorated amount is added to your next bill.

Step 6: Connect your client's banks & cards

Connect the client's financial accounts — American Express, Brex, Chase, Mercury, Ramp, or 10,000+ other banks — so Digits automatically syncs and categorizes their transactions in real time. Click Connect for each account, then Next. You can also connect more accounts later from the Connections tab.

How do I remove a client from my firm?

A Note on Team Members vs. Clients

Removing a client removes the whole account from your firm. It's different from removing a team member (a person at the client's company). Your firm can't remove a client's active team members — only someone at the client's company can. See What Clients Can & Can't Do

  1. Go to your Firm Dashboard

  2. In the left navigation menu, select Firm Settings

  3. Open the Clients tab

  4. Find the client you want to remove

  5. Click the menu next to the client’s name

  6. Select Remove

Frequently Asked Questions

Should I export data before removing a client?

Removing a client doesn't delete their data — it stays with them in Digits. But your firm loses access to their account right away, so if you need any of their reports, reconciliations, or documents for your own firm records, download those before you remove the client.

Can I restore a client after removal?

Removing a client doesn't erase their data — their business and workspace stay in Digits, and they continue on their own Core for Business account. To work with them under your firm again, re-add them from your Firm Dashboard to re-affiliate them.

Why don't I see my partner discount when selecting a plan for a client?

The plan selection screen always displays standard pricing (MSRP). Your partner discount is applied automatically and will be reflected in your firm's subscription details under Firm Settings → Subscription. You can also see the discount applied to each client's billing summary in Settings → Clients.

Why was I still charged after removing a client?

Digits bills existing clients on a prepaid basis at the start of each billing cycle. However, if a client is added and then removed within the same billing cycle, that usage is prorated and billed in arrears on your next billing cycle. So the charge you're seeing isn't a new fee — it covers the prorated days that the client was active before removal.

Will I still be billed if I've removed all my clients?

You may receive one final statement covering prorated charges for any clients who were active earlier in the billing cycle. Once that's settled, you won't be billed for client subscriptions going forward. Your firm account will remain active — you can continue using Firm Free Books at no cost, or contact Digits Support to fully close your firm account.
