Vault Overview

Digits' Vault centralizes statements, receipts, and contracts. Upload or auto-fetch files, convert PDFs to CSV, and stay in sync with Reconciliations.


How to Access Vault in Digits

  1. Click Vault in the left navigation menu.

  2. From here, you can:

    • Click Upload Document (top right) to add files.

    • Use Search, Filters, Sort, and switch List/Grid views (icons in the top right).


How Documents Get into Digits

Manual uploads

  • Upload PDFs, images, and other document types. Ideal for receipts, vendor contracts, or treasury reports.

Drag & drop

  • Drag files directly into the Digits window. Files are routed to Vault and processed the same way as a manual upload.

Ledger attachments

  • Any file attached to a transaction (e.g., a receipt or invoice) is automatically added to Vault.

Email

  • You can email documents directly to the correct Digits business/client using that instance’s unique Digits email address. This is great for forwarding receipts, bills, or statements without logging in.

Mobile app (iOS) Upload documents from your phone using the Digits mobile app. Capture or upload files on the go, and they’ll sync to Digits for processing.

Digits will automatically recognize supported documents and link them to the appropriate transaction or route them to the appropriate workflow when possible.

Auto-fetch via Plaid (U.S. banks/cards)

  • When you connect an account through Plaid, Digits automatically pulls official bank statements into Vault.

  • Currently supported include (not exhaustive): Acorns, Altruist, American Bank (TX) - Business Banking, Aspire, Atlas, Bank of America, CCBank (Business & Personal), Chariot, Chase, Citibank Online, Cogent Bank - Cogent Connection, Columbia Bank (Commercial), Crew Finance, Dama Financial by LeafLink, Dappr, Double Finance, Dupaco Credit Union, Exponent, Fifth Third Bank, First Bank of Ironharbor, Gemini Credit Card, GuideStone Financial Resources, Huntington Bank, Karat Financial, Klutch, Loop Financial (US), Mass Finance Inc., Meow, Mercury, Navy Federal Credit Union, Parker, Percapita Group, Ramp, Regions Bank, Rent App, Safra National Bank, Slash, Spruce, Square, Truist, Upgrade, U.S. Bank, and Wells Fargo.

Automatic sync between Reconciliations and Vault

  • Any statement uploaded in Reconciliations is also added to Vault.

  • Any statement added in Vault is automatically matched to a reconciliation when possible.

Downloading a PDF as CSV

  1. Open Vault.

  2. Click the menu next to a document (or open the document detail page).

  3. If supported, click Download CSV to export.

Note: Only certain PDFs (like compatible bank statements) can be converted. Unsupported or very large/long files may not show the option.


Viewing Linked Transactions

When you click on a document, a file info panel appears on the right side. If linked to a transaction(s), you’ll see a Linked Transactions section showing:

  • Transaction date

  • Transaction amount

Clicking the transaction takes you directly to its details page in the Ledger.


Frequently Asked Questions

How long does it take to convert a PDF to CSV?

It depends on size and complexity. Short statements (1–2 pages) usually convert in ~60 seconds; longer or more complex PDFs can take up to 10 minutes.

Will Digits automatically attach receipts to the right transaction?

Yes. You can upload, drag & drop, or email receipts, and Digits will automatically attach them to the right transaction when it can (based on details like vendor, date, and amount).

If Digits can’t confidently match a receipt, it will still store it in Vault so you can attach it manually later.

Are there limits on PDF conversion?

Yes. PDFs over ~15 pages may not convert successfully (fix coming soon). Large files (~7MB+) or highly formatted statements may time out or return incomplete results.

Can I upload documents that aren’t tied to transactions?

Yes. Upload contracts, treasury reports, receipts, and more directly into Vault.

Can I delete or replace a document?

Yes. Use the Trash icon in the file info panel.

  • If you delete a document from the Vault, it will also be removed from any linked transactions.

  • If you delete a document from the transaction details, you'll get the choice to either:

    • Unlink it (keep it in your Vault), or

    • Delete it entirely

Why don’t I see Download CSV?

Only certain PDFs (e.g., supported bank statements) can convert. If the file is too long, too large, or unsupported, the option won’t appear.

Why don't I see check images for my transactions?

Digits automatically extracts check images from imported bank statements—whether the statement comes in through a Connected Account, a manual upload, or your Digits email address—and saves them to Vault. Some banks (such as Mercury) also provide check images directly through their API, but even when they don't, Digits can now pull the images from the statement itself.

You can also add checks yourself by uploading them manually or emailing them to your Digits email address. When Digits receives a check image, it automatically tries to match it to the corresponding check transaction in your Ledger. If it can't find a confident match, the image is stored in Vault so you can manually attach it to the correct transaction.
